Executive Assistant

Alley Interactive is a team of experienced strategists, researchers, designers, developers, and project managers who create digital solutions for large-scale digital publishers including news organizations and non-profit institutions. We are seeking a full-time Executive Assistant to work in our New York Office to perform administrative support, run errands, and solve problems for our CEO and other senior leaders.

Qualified applicants should display excellent verbal and written communication skills, quick and creative problem-solving, resourcefulness, approachability, and superior attention-to-detail. You’re expected to keep track of lots of details — so be sure to include “Welcome to the world of tomorrow!” in your cover letter to be considered.

This is a fun, but fast-paced and, at times, intense environment where the ability to multi-task and prioritize is essential. You’ll work closely with our leaders and learn a lot.

Responsibilities

  • Handle scheduling, travel, expense reports, and timesheets for our CEO and potentially for other leaders, and dynamically and intuitively manage appointments based on priorities.
  • Problem-solve for our CEO, helping him prioritize what’s most important to the company.
  • Help our CEO be on-time, prepared, and attentive to each engagement.
  • Support other senior leaders, especially as pertains to appointment-setting during the sales process, preparing contracts, and managing schedules.
  • Support the overall operations of the company alongside our Operations Coordinator and provide vacation cover for certain operations responsibilities.
  • Run personal errands as needed, including infrequent family logistics.

Qualifications

  • Service-oriented and outspoken, ability to proactively and aggressively manage expectations.
  • Ability to communicate professionally and effectively via tools such as Zoom, Slack, and Google Apps. Excellent written communications are imperative for this position, since you will be representing our CEO by email to senior leaders in other organizations. We’re a distributed company, so much of your communications with your colleagues will also be mostly digital.
  • Must be able to rapidly adapt and respond to changes in environment and priorities.
  • Ability to maintain strict confidence about sensitive matters and important conversations.
  • Must be able to work out of our New York City office every day.

About a third of our team lives in the New York area, and the rest are spread around 18 other states and provinces (and counting).
